2026/2027 National Service – HR and Administration
You will help keep SHAQ EXPRESS people records and office administration accurate, organised and on schedule. Your daily work will include updating personnel, attendance and leave records; arranging recruitment, onboarding and training activities; preparing routine letters; coordinating supplies; and protecting confidential employee information.

What you will do.
- Create, update and organise personnel files, document checklists and authorised HR trackers
- Record attendance, leave, duty changes and other approved employee movements and follow up missing information
- Schedule assessments and interviews, send confirmations and prepare candidate documents for authorised reviewers
- Collect and organise applications, interview records and recruitment decisions in the correct files
- Prepare onboarding checklists, induction schedules and new-starter files and follow up incomplete documents
- Coordinate training calendars, participant lists, materials, attendance and completion records
- Draft routine letters, memos, meeting notes and internal notices using approved templates
- Support office administration by monitoring supplies, preparing requests, arranging meetings and managing document dispatch
- Compile weekly and monthly HR and administration reports and flag overdue actions, incomplete records or exceptions
- Protect confidential personnel data and follow approved access, storage, retention and disclosure procedures
What you will need.
- Eligible to undertake National Service in 2026/2027 and expected to complete all academic requirements before service begins
- Tertiary training in Human Resource Management, Business Administration, Public Administration, Management, Psychology, Sociology or a related programme
- Able to write clear professional emails, letters and meeting notes in English
- Able to use Word or Google Docs, Excel or Google Sheets, email, calendars and shared folders
- Able to enter data accurately, file and retrieve documents, and manage several deadlines without losing detail
- Demonstrates discretion when handling employee, applicant and other confidential information
- Able to work on site, communicate professionally and follow documented procedures and escalation routes
Good to have.
- Internship, attachment, volunteering or project experience in HR, administration or records management
- Exposure to an applicant-tracking system, digital personnel files, attendance records or a training tracker
- Experience coordinating interviews, onboarding, training sessions, meetings or office activities
- Basic familiarity with Ghanaian workplace practices or HR policies
